We are a Lexington-based company specializing in the service and installation of Beverage Equipment . We’re looking for a dependable, highly organized Parts and Service Coordinator to support daily operations across both field service dispatch and accounting functions.
This role works closely with our technicians, Office Manager, and President to ensure accurate Parts ordering, tracking and strong financial organization behind the scenes.
Key Responsibilities
Parts, Dispatch & Service Coordination
- Order, track and return parts as required to insure deadlines are met and Truck Stocks are properly replenished
- Track parts usage tied to service jobs and ensure proper documentation
- Schedule and coordinate service calls for new and existing clients when needed
- Communicate daily schedules, updates, and changes with field technicians when needed
- Adjust schedules in real time to accommodate urgent needs and shifting priorities when needed
- Assist in coordinating equipment installations and project timelines
Accounting & Administrative Support
- Process invoices, track payments, and assist with accounts receivable
- Support accounts payable, including vendor invoices and expense tracking
- Maintain accurate records in QuickBooks (required)
- Assist with job costing, ensuring labor and materials are accurately recorded
- Support inventory tracking, ordering, and reconciliation of parts and equipment
General Operations Support
- Maintain organized records and documentation across service and financial workflows
- Assist with improving internal systems for scheduling, tracking, and reporting
- Provide general administrative support as needed to keep operations running efficiently
